Partnership Terms and Conditions

1. ROASTING AND SHIPPING PROTOCOL Tectonic Coffee adheres to a strict weekly production and distribution cadence, executing all roasting activities on Sundays and dispatching shipments nationwide or by hand delivery every Monday, excluding recognized public holidays. Operational hours for administrative and customer service functions are maintained from 9:00 AM to 5:00 PM Pacific Time, Monday through Friday. Orders submitted post the 5:00 PM PT Friday cutoff may incur expedited service charges.

2. ORDER SUBMISSION DEADLINES Orders must be formally received by 5:00 PM PT each Friday to qualify for inclusion in the immediate Sunday roast cycle. Clients receive courtesy reminders via email on Friday mornings, Friday afternoons, and Saturday mornings to support timely order placement.

3. EXPEDITED SERVICE FEES Orders requiring accommodation outside of the prescribed weekly production timeline are subject to a surcharge of $1.00 per pound or per gallon for ready-to-drink products. Likewise, hand deliveries scheduled outside of standard distribution days will incur identical per-unit delivery fees.

4. DELIVERY LOGISTICS Clients may elect to retrieve their orders directly from our Vernon, California warehouse or opt for either localized hand delivery (within designated service zones) or national shipment via UPS. Real-time order tracking is accessible through tectoniccoffee.com.

5. RETURN AND EXCHANGE GOVERNANCE Direct-to-Consumer (D2C) Sales: Consumers have a 15-day window from the date of delivery to initiate a refund request. In most cases, product return is not required. Refund inquiries and exchange logistics should be directed to orders@tectoniccoffee.com, where our team will issue a prepaid return label for merchandise exchanges.

Wholesale and Private Label Sales: Wholesale clients and private label partners must report quality deviations or shipping damages within 15 calendar days of receipt. Remediation may include a refund or product replacement. Cold brew kegs are managed under a strict “one-in, one-out” protocol, and customers are financially liable for any loss or damage to kegs or nitro gas equipment.

6. LIABILITY FOR TRANSIT DAMAGES Tectonic Coffee assumes no legal responsibility for goods that are damaged or lost while in the custody of third-party shipping entities. Nonetheless, we endeavor to assist clients in navigating claims and may offer partial or full product replacements on a case-by-case basis.

7. PRODUCT QUALITY DISPUTES Clients experiencing product quality concerns are encouraged to request our formal Customer Complaints Procedure by contacting orders@tectoniccoffee.com.

8. REGULATORY COMPLIANCE – FOOD LABELING Tectonic Coffee guarantees compliance with all applicable food labeling regulations enforced by the California Department of Public Health (CDPH), including:

  • Ingredient declarations

  • Net quantity statements in both U.S. customary and metric units

  • Responsible firm identification

Private label clients must independently ensure that any relabeling, repackaging, or redistribution complies with federal and state labeling statutes, including 21 CFR §101 and CDPH standards.

9. PRICING TRANSPARENCY AND PROMOTIONS All pricing, including wholesale rates and promotional offers, are published exclusively through the tectoniccoffee.com client portal. Printed or static price lists are not provided.

10. ORDER PLACEMENT REQUIREMENTS Wholesale clients are required to submit orders via our digital ordering platform. Exceptions must be formally approved and supported by a unique, location-specific Purchase Order (PO) number submitted by email. Orders transmitted via voicemail, text message, or informal in-person communication will not be honored.

11. ORDER PROCESSING PREREQUISITES Order fulfillment is contingent upon the receipt of a formal PO and must include complete shipping instructions and delivery preferences.

12. FINALITY OF SALE All transactions are considered final upon confirmation. Failure to comply with established terms may result in revocation of extended payment privileges and require prepayment for all future orders.

13. PAYMENT TERMS AND DELINQUENCY PENALTIES Unless otherwise stipulated, all payments are due at the time of order placement. Delinquent accounts will incur a 3% monthly late fee. An additional 3% fee is levied on invoices exceeding 30 days past due. Outstanding balances unresolved after 90 days may be transferred to external collection agencies.

14. OPERATIONS DURING GOVERNMENT-IMPOSED DISRUPTIONS In the event of a government-mandated closure, clients must place all orders through our website with payment remitted in full prior to fulfillment. For clients requiring payment flexibility, a structured repayment plan is available: 25% of each outstanding invoice paid weekly until satisfied. Unused inventory may be donated through our Give Back Program upon request.

15. COLD BREW KEG EXCHANGE PROTOCOL Our cold brew keg program follows a reciprocal exchange model (“one-in, one-out”). Clients are liable for the cost of any lost or damaged kegs and accessories, including nitro gas tanks. Reorders for gas or kegs should be directed to orders@tectoniccoffee.com.

16. CLIENT SUPPORT AND STANDARD OPERATING PROCEDURES Comprehensive Standard Operating Procedures (SOP) for account setup, ordering, and fulfillment are accessible at tectoniccoffee.com or by request.

17. PREVENTATIVE MAINTENANCE PROGRAM Tectonic Dispatch offers complimentary preventative maintenance services for espresso machines exclusively to clients who (1) purchase a minimum of 30 lbs of whole bean coffee per week and (2) have signed a 12-month exclusive whole bean and cold brew agreement. This offering excludes replacement parts, external repairs, or third-party labor. Tectonic Coffee disclaims responsibility for damages resulting from unauthorized service providers.

18. PROFESSIONAL BARISTA TRAINING Complimentary barista training valued at up to $900 per year is exclusively available to wholesale accounts that (1) maintain a minimum weekly purchase of 30 lbs of whole bean coffee and (2) have executed a signed 12-month exclusive agreement for whole bean and cold brew supply. Additional training services may be purchased separately at a rate of $75 per hour, with a minimum booking of three hours.

19. PRIVATE LABEL PARTNER OBLIGATIONS Private label resellers who distribute Tectonic Coffee under their own branding are solely responsible for all aspects of customer service and end-consumer relations. Tectonic Coffee assumes no responsibility for customer complaints, returns, or inquiries originating from third-party sales channels.

All promotional campaigns, discounts, and pricing strategies executed by private label partners are undertaken at their own discretion and financial risk. Tectonic Coffee does not adjust base pricing or offer retroactive credits in support of such initiatives.

Private label partners must:

  • Ensure compliance with applicable food safety, labeling, and commerce regulations

  • Accurately convey product descriptions, ingredients, and safety instructions

  • Uphold clear brand delineation to avoid misattribution of Tectonic Coffee’s trademarks or identity

20. INTELLECTUAL PROPERTY PROTECTION All content—including brand assets, images, written copy, and proprietary systems—published on tectoniccoffee.com is the exclusive intellectual property of Tectonic Coffee Company LLC. Unauthorized replication or derivative use is strictly prohibited.

21. DISPUTE RESOLUTION AND LEGAL JURISDICTION Any contractual disputes shall be governed by the laws of the State of California. Parties agree to pursue good faith mediation prior to initiating legal proceedings.

22. PRIVACY AND DATA USAGE Tectonic Coffee collects, manages, and safeguards client data for the purpose of transaction processing, business operations, and service optimization. For details, please consult our comprehensive Privacy Policy available online.
